Cancellation and Refund Policy

This policy applies only to Academy training course bookings. Reservations for beauty and clinic services are governed by the general Cancellation and Refund Policy.

Academy bookings differ from service reservations in two ways: the Platform collects both the deposit and the remaining balance, and the training schedule is arranged after booking through a consultation. This policy reflects those differences.

1. Official Communication Channels

To ensure requests are processed accurately and on time, we ask you to use the channels set out below.

1.1 Formal Requests

  • All cancellation, refund, and schedule change requests must be submitted through the Contact Page on our Platform or our Official Email (support@seoulbeautyglobal.com).
  • Timestamp Policy: The timing of a request is determined by the timestamp of the email or Contact Page submission in Korea Standard Time (KST). All deadlines in this policy are calculated in KST.
  • Requests made via social media DMs or personal contacts are not considered official and will not be processed.

2. Definitions and Booking Stages

An Academy booking involves two payments and moves through four stages. The terms below are used throughout this policy.

2.1 Definitions

  • Deposit: The fixed amount paid online at the time of booking. It covers our coordination service — reviewing your goals in consultation, matching you with training providers, and securing your training dates.
  • Remaining Balance: The amount payable after your schedule is confirmed, calculated as the total course price minus the deposit.
  • Schedule Confirmation: The point at which both your training dates and your course curriculum have been agreed with you and confirmed by our academy team. You receive a confirmation email at this point.

2.2 Booking Stages

Pending
Deposit paid. Consultation and schedule arrangement in progress.
Payment Due
Schedule confirmed. Remaining balance not yet paid.
Confirmed
Remaining balance paid in full.
Completed
Training completed.

Your current stage is shown on your booking page and in every booking email.

3. Deposit Refund

Whether the deposit is refundable turns on a single point: whether your schedule has been confirmed.

3.1 Before Schedule Confirmation

  • If you cancel before your schedule is confirmed, the deposit is refunded in full (100%), regardless of how much time has passed since booking.

3.2 After Schedule Confirmation

  • Once your schedule is confirmed, the deposit is non-refundable.
  • The deposit is the fee for our coordination service. By the time your schedule is confirmed, that service has been performed — your consultation has taken place, your courses have been arranged, training providers have been assigned, and your training dates have been reserved on your behalf.
  • This applies whether or not you have paid the remaining balance.

3.3 Confirmation Requires Your Agreement

  • We confirm a schedule only after you have agreed to the training dates and course curriculum.
  • Dates outside those you originally requested may be proposed if provider availability requires it. Such dates are confirmed only with your agreement.

4. Remaining Balance Refund

Refunds of the remaining balance depend on how far in advance of your training you cancel, calculated in Korea Standard Time (KST).

4.1 Refund Tiers

  • 30+ days before: 100% Refund of the remaining balance
  • 15+ days before: 70% Refund of the remaining balance
  • 8+ days before: 50% Refund of the remaining balance
  • 7 days or fewer / Start date or later / No-show: No Refund

4.2 Reference Date

  • The reference date is the first confirmed training day as originally confirmed. If your training is rescheduled at your request, the reference date does not change.
  • If we or a training provider changes your dates, Section 8.2 applies.

4.3 If the Balance Has Not Been Paid

  • If you cancel before paying the remaining balance, there is no balance to refund. Section 3 applies to your deposit.

5. Withdrawal Period and Its Limits

Korean law gives consumers a statutory right to withdraw from an online purchase within seven days. The same law provides that this right does not arise in certain situations, and requires us to tell you in advance where those situations apply. For Academy bookings, they apply as set out below.

5.1 Deposit — Coordination Service Commenced

  • The deposit is the fee for our coordination service (Section 2.1). That service commences when your consultation begins.
  • Once your consultation has begun, the statutory withdrawal right no longer applies to the deposit.
  • Until your schedule is confirmed, Section 3.1 gives you a full refund of the deposit with no time limit — a broader right than the seven-day statutory period.

5.2 Remaining Balance — Dates Reserved on Your Behalf

  • The remaining balance becomes payable only after your training dates are confirmed (Section 2.1).
  • At that point a training provider has set aside specific dates for you. Those dates cannot readily be offered to another participant, in the same way as a reservation for a specific travel or event date.
  • The statutory withdrawal right therefore does not apply to the remaining balance. Sections 4 and 8 govern refunds of the balance.

5.3 What This Section Does Not Affect

  • This Section does not limit your rights where we or a training provider cancels or changes your training (Section 8), or in the circumstances covered by Section 9.

6. Schedule Changes

Moving your training to different dates is possible within limits, and is treated differently from cancelling.

6.1 Advance Notice and Limits

  • One schedule change is available at no cost if requested 15 or more days before your training start date, subject to provider availability.
  • Requests made after that point are treated as a cancellation under Sections 3 and 4.
  • A second change requires cancellation and a new booking.
  • Changing your schedule does not reset the refund tiers in Section 4.1 (see 4.2).

7. Consultation Attendance

Missing a consultation does not put your deposit at risk. Repeated non-attendance or a prolonged lack of response is handled as set out below.

7.1 Missed Consultations

  • Missing a scheduled consultation does not forfeit your deposit. Our team will contact you to arrange another time.

7.2 Repeated Non-Attendance or Non-Response

  • If you miss three scheduled consultations, or do not respond to our team for 30 days after we contact you, we will send a final notice.
  • If we receive no response within 7 days of that final notice, your booking will be cancelled and the deposit will be retained.
  • Responding at any point before the notice period ends resets this process.

8. Cancellations and Date Changes by a Training Provider or the Platform

If a training provider or we cannot deliver your training as arranged, or need to change dates that have already been confirmed, the following will apply.

8.1 Procedures

  • If a training provider becomes unavailable, or if we are unable to arrange your training, we will offer alternative dates or an alternative provider.
  • If you decline the alternative, you receive a full refund of both the deposit and the remaining balance.

8.2 Changes to Confirmed Dates

  • If we or a training provider changes dates that have already been confirmed, you may request a full refund of both the deposit and the remaining balance within 7 days of our notice. This applies whether or not you have accepted the new dates.
  • If you do not exercise that right within those 7 days, your booking continues on the new dates and the reference date under Section 4.2 becomes the new confirmed start date.

9. Special Circumstances

We may grant exceptions where circumstances beyond your reasonable control prevent you from attending, provided valid documentation is submitted.

9.1 Eligible Circumstances

Where circumstances beyond your reasonable control prevent attendance, and valid documentation is provided, we will first offer to move your training to new dates. Where that is not possible, the remaining balance is refunded in full. The deposit is retained, as our coordination service has already been performed. Eligible circumstances include:

  • Sudden flight cancellations or transportation disruptions
  • Serious medical emergencies affecting the participant
  • Natural disasters
  • Public health emergencies or government-imposed travel restrictions

9.2 Ineligible Circumstances

  • Issues relating to travel documents, passports, or visas are your responsibility and do not qualify for refund exceptions, consistent with our general Terms and Conditions.

9.3 Submission

10. Partial Attendance and Withdrawal

Training providers commit their time, venue, and materials for the full course, which affects how we treat training you leave partway through.

10.1 Leaving Before Completion

  • If you attend part of your training and withdraw, or leave before completion, no refund is issued.
  • Where you provide documentation of circumstances beyond your control, we may at our discretion offer to reschedule the unattended portion. This is offered case by case and is not a guaranteed entitlement.

11. Non-Refundable Items

Certain amounts are not refundable once the circumstances below apply, except where Section 8 provides otherwise.

11.1 Specific Items

  • The deposit, once your schedule has been confirmed (Section 3.2)
  • The remaining balance where cancellation falls within 7 days of the training start date (Section 4.1)
  • Training already attended, in whole or in part (Section 10)
  • Bank fees or cross-border charges applied by your card issuer or bank

12. Refund Processing

This section details how and when an approved refund is returned to you.

12.1 Method and Currency

  • All refunds are issued in US Dollars (USD), based on the exact USD amount originally charged, regardless of exchange rate movements since the transaction.
  • Refunds are issued to the original payment method.
  • Where payment was made by bank transfer, the refund is remitted by bank transfer, less international remittance fees.

12.2 Timeline

  • Refunds are processed within 3–5 business days. The time for funds to appear in your account depends on your bank or card issuer.

13. Cancelling a Booking

A booking is treated as a single unit, whether it contains one course or several.

13.1 Booking as a Unit

  • A booking is cancelled as a whole. Individual courses within a booking cannot be cancelled separately.
  • To reduce the number of courses in a confirmed booking, contact our team — this is handled as a booking modification rather than a partial cancellation.

14. Payment Disputes and Chargebacks

We encourage you to contact us before raising a dispute with your card issuer or payment provider.

14.1 Dispute Resolution

  • Initiating a chargeback with your card issuer or payment provider will cancel your booking and suspend any refund process already in progress until the dispute is resolved.
  • Please contact us before raising a dispute so we can resolve the matter directly.
